Migrating your database from Salesplay POS to Astana POS involves a 3-stage process: exporting raw CSV files from Salesplay, mapping headers, and bulk-importing into Astana. Phase 1: Export Data from Salesplay POS 1. Export Products & Database Items * Log into your Salesplay Back Office portal on a browser. * Go to Products > Product List. * Click the Export button (top right) to download your full item database as a .csv file. * (Optional for Stock): If you need current stock levels, go to Inventory > Inventory Status and click Export CSV. 2. Export Customer Records * In Salesplay Back Office, navigate to Customers. * Click Export to download your customer directory (Names, Phone Numbers, Email, Loyalty Points) as a .csv file. Phase 2: Prepare & Map the Data Astana POS and Salesplay POS use different CSV column header names. You will need to align your Salesplay CSV headers with Astana’s required template format. * Log into Astana POS Backoffice > Products > Import. * Download the Astana POS Sample Import Template (.csv). * Open both files in Excel or Google Sheets, then map the data columns as follows: > ⚠️ Important Formatting Rules: > * Save As: Save all edited files strictly as CSV UTF-8 (Comma Delimited). > * Categories First: Ensure product categories already exist inside Astana POS, or let the import tool create them automatically if enabled. > * Clean Symbols: Remove currency symbols ($, RM) and special characters from price and SKU columns. Phase 3: Import Data into Astana POS 1. Run a 5-item Test Upload Pre-check formatting. Upload a test file with 5 items first. Verify that prices, categories, and barcodes display correctly on the Astana POS terminal screen before importing your main database. 2. Import Categories & Items Astana Backoffice Products"> Go to Products > Import in Astana POS. Drag and drop your mapped Product CSV. Match any unlinked columns if prompted, then click Confirm Import. 3. Import Customer Database Astana Backoffice Customers"> Navigate to Customers > Import. Upload your mapped Customer CSV. Verify that customer phone numbers and names map correctly to preserve loyalty tracking. 4. Perform POS Terminal Sync On Astana Terminal Hardware. Open the Astana POS app on your terminal/register and tap Sync Data (or pull down to refresh) to fetch all newly uploaded items and customers onto the local device.
